CLEANVOLT SOLUTIONS — PRIVACY POLICY
Version 1.0 | Last updated: June 2026
Townsville, QLD, Australia | Privacy Act 1988 (Cth)
CleanVolt Solutions (ABN 92 848 670 535) (the "Company", "we", "our", or "us") is committed to protecting the privacy of the people we deal with. This Privacy Policy explains how we collect, hold, use, disclose, and protect personal information in connection with our non-electrical cleaning, decontamination, detailing, and inspection services.
We handle personal information in accordance with the Privacy Act 1988 (Cth) (the "Privacy Act") and the Australian Privacy Principles (the "APPs"). By engaging us, requesting a quote, or providing us with personal information, you consent to your information being handled as described in this Policy.
1. ABOUT THIS POLICY
This Policy applies to personal information we collect from clients, prospective clients, suppliers, contractors, website visitors, and other individuals we deal with in the course of our business. "Personal information" means information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether true or not and whether recorded in a material form or not.
This Policy does not apply to acts and practices that are exempt under the Privacy Act, such as our handling of employee records in the context of a current or former employment relationship.
2. WHAT INFORMATION WE COLLECT
The types of personal information we collect depend on our dealings with you, and may include:
- Identity and contact details — your name, business name, position, phone number, email, and postal or Site address.
- Service information — details of the Site, equipment, access arrangements, and the services you request, including notes, photographs, and condition reports relating to work areas.
- Billing and payment information — billing address, ABN, purchase order details, and limited payment details needed to process invoices. We do not store full card numbers; card payments are handled by third-party payment providers.
- Correspondence — records of your enquiries, bookings, feedback, and communications with us.
- Website and technical information — information collected automatically when you use our website, such as IP address, browser type, and pages visited.
Sensitive information. We do not generally seek sensitive information (such as health or background-check information). If we ever need to collect it — for example, for site-access vetting — we will only do so with your consent or where permitted by law.
3. HOW WE COLLECT INFORMATION
We collect personal information in a number of ways, including:
- Directly from you — when you request a quote, make a booking, communicate with us by phone, email, or our website, or provide information on Site.
- When we attend a Site to perform or assess services, including through photographs and condition records of work areas.
- From third parties you authorise, such as a facility manager, building owner, or your representative who arranges work on your behalf.
- Automatically through our website and standard server logs.
Where it is reasonable and practicable, we collect personal information directly from the individual concerned. If you provide us with personal information about another person, you must ensure you are authorised to do so and make that person aware of this Policy.
4. WHY WE COLLECT AND USE INFORMATION
We collect, hold, and use personal information for purposes connected with our business, including to:
- Prepare quotes and respond to enquiries.
- Schedule, perform, and manage our services.
- Communicate with you about bookings, works, and follow-up.
- Issue invoices and process payments.
- Maintain records, including before-and-after photographs, for quality and record-keeping.
- Manage our relationship with you, handle feedback, and resolve complaints.
- Comply with our legal, insurance, safety, and record-keeping obligations.
- Improve our services and, where permitted, send you relevant updates.
If we are unable to collect personal information we reasonably need, we may not be able to provide a quote or perform our services.
5. WHEN WE DISCLOSE INFORMATION
We do not sell personal information. We may disclose personal information to:
- Our personnel and subcontractors who need it to deliver our services.
- Service providers who support our business, such as accounting, invoicing, payment, IT, and software providers.
- A facility manager, building owner, or other party you have authorised in connection with the works.
- Our insurers and professional advisers, where reasonably required.
- Government, regulatory, or law-enforcement bodies where required or authorised by law.
We take reasonable steps to ensure that parties who handle personal information on our behalf are bound by appropriate confidentiality and privacy obligations.
6. MARKETING AND COMMUNICATIONS
From time to time we may send you information about our services, offers, or updates that may interest you, where permitted under the Privacy Act and the Spam Act 2003 (Cth). You can opt out of marketing communications at any time by using the unsubscribe option in the message or by contacting us using the details below. We will continue to send you essential service-related communications, such as booking confirmations and invoices.
7. WEBSITE, COOKIES AND ANALYTICS
Our website may use cookies and similar technologies to help it function, remember your preferences, and understand how the site is used. Most browsers allow you to manage or disable cookies, though some features of the site may not work properly if you do. We may use analytics tools to collect aggregated, non-identifying information about website usage to improve our online services.
8. OVERSEAS DISCLOSURE
Some of our service providers (for example, cloud, email, or software providers) may store or process information on servers located outside Australia. Where this occurs, we take reasonable steps to ensure those providers handle personal information consistently with the APPs. By providing your information, you acknowledge that it may be stored or processed overseas by such providers.
9. STORAGE AND SECURITY
We take reasonable steps to protect personal information from misuse, interference, and loss, and from unauthorised access, modification, or disclosure. These steps include physical, technical, and administrative safeguards such as restricted access, secure storage, and the use of reputable software providers. We recognise the sensitivity of Site, security, and infrastructure information and handle it with particular care. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. DATA RETENTION
We retain personal information only for as long as it is needed for the purposes described in this Policy, or as required to meet our legal, tax, insurance, and record-keeping obligations. When personal information is no longer required and we are not legally obliged to keep it, we take reasonable steps to destroy or de-identify it.
11. ACCESS AND CORRECTION
You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant, or misleading. To make a request, contact us using the details below. We may need to verify your identity before responding.
We will respond within a reasonable time. In most cases access is provided free of charge, though we may charge a reasonable cost for retrieving and supplying information in some circumstances. If we decline a request, we will explain our reasons in writing, except where it would be unreasonable to do so.
12. DATA BREACHES
We have procedures in place to deal with suspected or actual data breaches. Where a data breach is likely to result in serious harm to affected individuals, we will assess and respond in accordance with the Notifiable Data Breaches scheme under the Privacy Act, including notifying affected individuals and the Office of the Australian Information Commissioner (OAIC) where required.
13. COMPLAINTS
If you believe we have breached the APPs or mishandled your personal information, please contact us using the details below with enough information for us to investigate. We will acknowledge your complaint, investigate, and respond within a reasonable time.
If you are not satisfied with our response, you may refer your complaint to the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or by phone on 1300 363 992.
14. CHANGES TO THIS POLICY
We may update this Policy from time to time to reflect changes in our practices, services, or legal obligations. The current version is always available on our website, and the "Last updated" date shows when it was most recently revised. We encourage you to review this Policy periodically.
